If you need to keep track of Hirers third-party liability insurance you can record the expiry date of their policy on the Hirer form. You can then easily produce letters reminding Hirers to renew their insurance and supply you with a copy of their certificate. The reminder letters are produced as follows:

  1. Select the Hirer list by clicking on the Hirer button on the toolbar.
  2. Click on the Print Insurance Letters link in the task list. This will display the following form.

  1. Select whether you want to print the reminder letters for all Hirers or just those with bookings after a particular date.
  2. Enter the date on or before which you would like a Hirer, whose insurance is due to expire, to receive a letter.
  3. Click OK to confirm that you want to print the letters. This will load Microsoft Word and automate a mail merge to produce one page for each Hirer who insurance is due to expire.
